Asset register

  • Centralized register
  • Serial tracking
  • Purchase & warranty data
  • Status tracking

The asset register is the single source of truth for everything your company owns. Each entry captures the asset name, a unique identifier or serial number, the asset type, purchase date, cost, warranty information and current status - whether the item is available, assigned, under maintenance or retired.

Search, filter and sort the register by type, status, custodian or purchase date. When a new laptop arrives or a vehicle joins the fleet, creating the record takes a few fields and the asset is immediately available for assignment.

Built in

  • Create assets with name, serial number, type, cost and purchase date
  • Track warranty expiry and vendor information
  • Filter and search by type, status, custodian or date range
  • Link assets to the employee directory and departments
  • Status lifecycle: available, assigned, maintenance, retired

Asset types

  • Custom types
  • Filter by type
  • Type-level counts
  • Unlimited categories

Asset types group assets into categories that reflect how your organization thinks about its inventory. A technology company might use Laptops, Monitors, Peripherals and Networking Gear. A construction firm might prefer Vehicles, Heavy Equipment, Power Tools and Safety Gear.

You define the types - there are no fixed categories. Every asset is filed under a type, which drives filtered views, planning reports and quick counts of how many items exist in each category, keeping the register organized as it grows from dozens of assets to thousands.

Built in

  • Create unlimited custom asset types
  • Every asset belongs to exactly one type
  • Filter the register by type for quick inventory views
  • Planning reports break data down by type
  • Rename or reorganize types as your needs change

Assignment & returns

  • Quick assignment
  • Return processing
  • Auto status update
  • Multiple assets per person

Assigning an asset to an employee creates a dated record that links the person, the asset and the assignment date. The asset's status changes to assigned, and the employee's profile shows the new item in their custody.

When the asset comes back - the employee leaves, upgrades hardware or the project ends - recording the return closes the assignment with a return date and moves the asset back to available. An assigned asset can't be handed to someone else until its return is processed, so there are no conflicting custody records.

One employee can hold several assets at once. A developer might have a laptop, an external monitor and a headset - each tracked independently with its own assignment date.

Built in

  • Assign any available asset to an employee with a date
  • Process returns with a return date and optional notes
  • Asset status updates automatically on assign and return
  • Prevents double-assignment of in-use assets
  • View every asset held by a specific employee

Assignment history

  • Chain of custody
  • Tamper-proof trail
  • Per-asset timeline
  • Audit-ready

Every assignment and return is logged, building a complete chain of custody for each asset. Open any asset's detail page to see every person who held it, when they received it and when they returned it - in chronological order.

That history is what makes the register useful for accountability - if a laptop goes missing or equipment comes back damaged, you know exactly who had it last. It supports audits that need proof of custody, and reveals how often an asset changes hands for lifecycle planning.

History records can't be edited or deleted after creation, so the audit trail stays trustworthy across employee turnover and organizational change.

Built in

  • Chronological assignment history on every asset
  • Employee name, assign date and return date per record
  • Records can't be edited or deleted once created
  • Supports internal audits and compliance reviews
  • History stays after an employee is offboarded

Planning reports

  • Utilization
  • Assignment trends
  • Inventory summary
  • CSV export

Planning reports turn register data into decisions for IT, operations and procurement teams. The utilization report shows how many assets are assigned versus available by type - spot categories with too much sitting idle, and ones where people are waiting for equipment.

The assignment trend report charts assignment and return activity over time, so you can forecast demand peaks like a hiring wave that needs a batch of laptops. The inventory summary is a snapshot of totals by type, status and age - flag ageing hardware approaching end-of-life and budget its replacement.

Built in

  • Utilization report: assigned vs available by type
  • Assignment trend report: activity over time
  • Inventory summary: totals by type, status and age
  • Filter by date range, asset type, department or status
  • Export reports to CSV for procurement planning

Assets linked to employees, departments and operations

Asset data doesn't sit in isolation. Assignments connect to the employee directory and planning reports feed procurement and budgeting - so IT and operations work from one system instead of parallel spreadsheets.
