Estimates & Quotations

Professional quotes that convert into invoices on acceptance

Build estimates with line-item pricing, send them through a secure public link, and let your client accept with an e-signature. When they do, CrmLeaf creates an unpaid invoice from the same line items - no re-keying, no duplicate data, no missed revenue.

How it works

From quote to invoice in five steps

You build it, send it, the client reviews it - and acceptance creates the invoice automatically.

  1. Step 01

    Create

From scratch, or from a template with BOM items pre-filled

  2. Step 02

    Send

Email a unique public link - the status moves to Waiting

  3. Step 03

    Client views

They open it in any browser, and the view is recorded

  4. Step 04

    Accept & sign

A drawn or uploaded signature marks it Accepted

  5. Step 05

    Auto-invoice

An unpaid invoice is created from the same line items

In detail

How each capability works

Estimate Builder

Create a formal quote from scratch or straight from a Deal in your sales pipeline. Each estimate carries a client, a currency, and as many line items as the job needs - each with a quantity, unit rate, discount (percentage or flat) and tax rates. The total updates live as you build.

Estimates move through a clear status lifecycle - Draft, Waiting (sent to the client), Accepted, Declined or Canceled - and every change is logged, so you always know where each quote stands.

Built in

  • Unlimited line items per estimate, each with quantity, rate, discount and tax
  • Generate an estimate from a Deal - client and product details carry over
  • Status lifecycle: Draft, Waiting, Accepted, Declined, Canceled
  • Auto-numbered with a configurable prefix
  • PDF export and email delivery
  • Line items with discounts & taxes
  • Create from Deals
  • Draft → Waiting → Accepted / Declined
  • Multi-currency

Templates & BOM Items

If you quote the same services or materials again and again, save them as an estimate template. Templates store the full set of line items - including bill-of-materials (BOM) components - so a new estimate means picking a template and adjusting quantities, not rebuilding from zero.

BOM items let manufacturing, construction and solar teams load material lists at the quoting stage, connecting the estimate to your product catalogue and procurement from day one.

Built in

  • Save any estimate as a reusable template
  • Templates carry line items, BOM components, discounts and taxes
  • Create a new estimate from a template in one step
  • Catalogue products attach as line items with their default rates
  • Reusable templates
  • BOM items pre-populated
  • Product catalogue

Auto-Convert to Invoice

The moment a client accepts and signs, CrmLeaf creates an unpaid invoice with the same line items, amounts and tax calculations. If the client opens the link again and clicks accept a second time, no duplicate invoice is created.

The invoice inherits the estimate's client, currency and line items, so finance picks up exactly where sales left off. From there it follows the normal billing flow: payment reminders, online payments, credit notes and mark-as-paid.

Built in

  • An accepted estimate creates an unpaid invoice automatically
  • Accepting again never creates a second invoice
  • Line items, discounts, taxes and currency are copied to the invoice
  • The invoice enters the standard billing flow - reminders, payments, credit notes
  • Automatic on acceptance
  • No duplicate invoices
  • Line items carry over
  • Ready for payment collection

Estimate Requests

Not every quote starts on your side. Estimate Requests let clients and prospects ask for a quotation through a structured intake. Each request has its own status workflow, so your team can triage, assign and turn approved requests into formal estimates.

That closes the loop between inbound demand and outbound quoting - every request is tracked, nothing slips through, and request to estimate to invoice is one continuous chain.

Built in

  • Clients request a quote through a structured intake form
  • Each request moves through configurable statuses
  • Your team can triage, assign and respond to requests
  • Convert an approved request into a formal estimate
  • Client-initiated requests
  • Status workflow

Tracking & Expiry

Every estimate records when the client last opened its link, so your sales team knows whether a sent quote has actually been seen - and can time follow-ups to real engagement rather than guesswork.

Each estimate also has a valid-until date. Once it passes, the client can no longer act on the estimate. You can extend the date and resend, or create a fresh estimate from the same template if pricing has changed.

Built in

  • The last-viewed time is recorded whenever a client opens the link
  • Expired estimates can no longer be accepted
  • Extend the expiry and resend, or start a new version from the same template
  • View tracking helps reps time follow-ups to real client engagement

Connected across CrmLeaf

Estimates sit at the centre of your quote-to-cash chain

An estimate connects back to the deal that started it and forward to the invoice it creates on acceptance. Products fill the line items, and clients review everything through the portal - one chain from pipeline to payment.
